Archive Print Document Headers

Purpose
This report carries out the second step in the process of archivingprint document headers: Writing print document headers to an archivefile, based on the analysis carried out in the first step.
The archiving object related to the archiving of print document headersis called ISU_PRDOCH. It encompasses the following print document data:

  • Print document header data

  • Outsorting data for a print document

  • Link data for a contract accounting documents

  • Discount line data for a print document

  • Data for conversion steps for each bill line

    • You can use the Archiving Object transaction (AOBJ) to access thedefinition of archiving object ISU_PRDOCH and the correspondingCustomizing settings.
    You can use the Archive Administration transaction (SARA) toaccess the archive administration and the corresponding Customizingsettings.
    You can use the Archive Information System transaction (SARI) toaccess the technical view of an archive.
    You can use the Budget Billing Plan transaction (EA63) to accessthe accounting view of an archived print document.

      • First step in the process of archiving print document headers: Analysisof print documents with regard to potential archiving.
      • REPDAR_DEL_HEAD

        • Third step: Deletion of print document headers from the database on thebasis of the previously created archive.
        • REPDAR_REL_HEAD

          • Use this report to reload data that has been archived and alreadydeleted. Note that you cannot reload individual documents. You have toreload the entire archiving run. This procedure should not normally beused and should be limited to extreme problem cases (for example,incorrect retention period in Customizing).
          • REPDAR_READ_ARCHIVE_HEAD

            • This report allows you to read a print document header archive and todisplay parts of the data in a list before the deletion program has beenexecuted. It displays the data in a technical view.

            Prerequisites
            Before starting this archiving report, you have to carry out at leastone analysis with the REPDAR_ANALYSE_HEAD report.

            Features
            The analysis report selects the print document headers that havearchiving indicator 4 (print document header can be archived). They arewritten to an archive file and their archiving indicator is set to 5(print document header can be deleted). If you start the report in testmode, the changes to the database described above are not carried outand the system just displays a detailed overview (you can set the levelof detail) of the documents that you can archive.

            Notes on Starting the Program
            When you start the report you can make various settings on the initialscreen:

            • Log type: General statistical data or detail log

            • Run time restriction: If you activate the run time restriction, the
              • analysis report terminates when the end date and end time is reached.This means that you can let the analysis report run as a job duringshort time frames.
