Conversion of storage data into the new storage systems.

Purpose
Until recently, you could only check in and store original applicationfiles in the following secure storage areas that were defined inCustomizing of Document Management:

• Archive


• Vault


• Server

New storage in storage systems
Original application files can now be stored in and checked into thenew storage systems of the SAP System. The Knowledge Providernow transports the original application files into the SAP System.


• You set whether the new storage systems are used in Customizing of the
document type, activity Define document type,the indicator Document storage using the KnowledgeProvider.

• It is strongly recommended to use the Knowledge Provider for
storing original application files as of this Release.

• This program allows the original application files of any document type
from any Relesae to be used with the new storage system.

Integration
This conversion program offers two possibilites:


• Complete migration

The meta data of the document info record and the checked-in originalapplication files are migrated together.
The checked-in original application files are transported into thestorage catgories.

• Step-by-step migration

In the first step meta data is migrated.
The original application files remain in the old storage data.
The migration of original application files starts after you haveprocessed the files with the integrated viewer and checked them into asecure storage area.
Note:
Only delete the old secure storage areas after all original applicationfiles have been transported to the new secure storage areas.
The migration distributes the system load over a long period of time.

Activities
In order for you to use document types from earlier Releases with thenew storage categories you must carry out the following steps:
RESET N1
Enter in Customizing for Document Management the required settings forthe the new storage systems:
Maintain storage system
Maintain storage category
Call the program: DMS_KPRO_CONVERT (Migration DMSstorage into storage of the Knowledge Provider).
Press the button |@K8@ (Settings).
Enter the new transport target (storage category) for the old storagedata.
Make this entry for all old storage data where the selected documenttype can be found
If you want to carry out a complete migration, set the indicatorPhysically transport the original application files duringmigration.
If you want to transfer old audit versions (checked-in contentversions) into the new storage system, set the indicator Transfer
audits during migration from DMS to KPRO.
Save your entries and go back to the initial screen of the conversionprogram.
Enter the data in the intial screen of the conversion program.
Enter one or more document types whose document info records andpossibly original application files you want to transfer to the newstorage system.
You can also make a test run of the migration with a simulation bysetting the indicator test run.
If you have already run the conversion and only want to convert corruptdocuments from the table DMS_CONV2KPRO2, set the indicator to Onlydocuments with errors.
You can see information in the messgae about the progress of themigration when you set the indicator progress indicator. Thiswill, however, impede performance.
Enter the settings in the application log.
The application log contains information about which documents wereconverted.
Assign a log ID number. This is the number used for identifying the logof the conversion.
Enter a temporary directory where the original application files can besaved.
Start the conversion by pressing |@15@.
In the test mode you see a list of all document info records ofthe selected document type that contain original application files.
The color coding is as follows:
Green:
The original application file is checked in and trasnported into thenew storage category.
Red:
The original application file is checked out and is nottrasnported into the new storage category.
If you strated the conversion directly, you see a log overview withmessages about each individual conversion.
Because the logs are saved in the application log you can view them ata later time (transaction Evaluate appication log).
Enter the Object as CV.
Enter the Sub-object as CONVKPRO.
A list appears that shows the status of each individual conversion.
Check whether conversions have errors.
The corrupt original application files are put into the temporarydirectory that you entered in the initial screen.
If a conversion was not carried out successfully you must convert thecorrupt documents.
Set the indicator Only documents with errors in the initialscreen of the conversion program.
When the conversions for all documents of the document type havebeen executed successfully the system automatically sets the indicatorDocument storage using the Knowledge Provider(Customizing of Document Management, detail screen of the document typeDefine document type).
Verify this indicator.
