Journal Export

Incompleteness Status
Using the "Monitor document data status import or export" function, youcan monitor your documents with regard to Foreign Trade data. You canbranch to the change transaction directly from the list and completethe documents. In addition, you can use this function to display thefuture workload (for example, all exports in the next 7 days) and thusensure in advance that the documents are complete. The selection optionis identical to the one in the journals. You can also select thedocuments according to the incompleteness situation. The "Reorganization Incompleteness" function ensures consistencybetween incomplete Foreign Trade data in the documents and theincompleteness on the list outputs.
At the moment, the transaction is only possible if you directly call upthe transaction VIR1 for import documents orVIR2 for export billing documents. You can findfurther information under Organizational measures.Output
On the result list, there are different functions. In addition to thestandard functions such as sorting, calculating totals and subtotals ofvalue fields, showing/suppressing columns, printing, exporting lists(HTML format, RTF format) or sending via e-mail, you can display theincomplete fields in a document directly from the list. In addition,you can branch to the "Display Foreign Trade data" and "Change ForeignTrade data" functions. If you change a document via the "Change ForeignTrade data" function, the system refreshes the list automatically whenyou return, that is, the system copies the changes into the list. Thechanged entry has a yellow background. You can also use the "GlobalRefresh" function to generate a new list according to the selectioncriteria.
Control Incompleteness Foreign Trade Data
The basis for the "Incompleteness Foreign Trade data" function in thedocuments and for correct output of the incompleteness situation on thelists is the maintenance of the respective tables in Customizing. Heremaintain the following objects for the respective country - importingcountry in the case of "Monitor Import", exporting country in the caseof "Monitor Export":

Ensure that the "Save log of incomplete items" indicator has beenmarked. Not setting this indicator could lead to a discrepancy betweenthe status in the document itself and the list status. Proceeding viaincompleteness is preferable for reasons of performance.Organizational measures
If you select documents that were created prior to activating theincompleteness function for Foreign Trade data or if you changed theincompleteness procedure for Foreign Trade data (see ControlIncompleteness), it may occur that documents marked as complete in thelist have been marked as incomplete in the document. In this case, usethe "Reorganization Export or Import" function directly via theVIR1 (Import) or VIR2 (Export)transaction codes.
The entries on the list and in the documents are then identical again.
