Export Journal

Incompleteness Status
Using the "Monitor Document Data Status Import or Export" function, youcan monitor your documents with regard to Foreign Trade data. You candirectly branch from the list to the change transaction and completethe documents. You can also use this function to display the futureworkload (for example, all exports in the next 7 days). Thus, you canensure the completeness of the documents in advance. The selectionoption is identical to the one in the journals. In addition, you canselect the documents according to the incompleteness situation. Referto the notes at the end of this documentation on Organizationalmeasures.Reorganization Incompleteness
Reorganization Incompleteness is a function that is to ensureconsistency between incomplete Foreign Trade data in the documents andincompleteness on the list output.
At the moment, you can only call up this transaction if you directlycall transaction VIR1
for import documents or VIR2 for export billingdocuments. Further information is available under organizationalmeasures.Output
The result list contains various functions. In addition to the standardfunctions, such as sorting, calculating totals and subtotals of valuefields, showing/suppressing columns, printing, exporting lists (HTMLformat, RTF format) or sending via e-mail, you can directly display theincomplete fields in a document from the list. You can also branch tothe "Display Foreign Trade data" and "Change Foreign Trade data"functions. If you change a document using the "Change Foreign Tradedata" function, the system automatically updates the list when youreturn, that is, the system copies the changes for the document intothe list. In addition, the changed entry has a yellow background. Youcan also use the "Global Refresh" function to create a new listaccording to the selection criteria.
Incompleteness Control Foreign Trade Data
The basis for the 'Incompleteness Foreign Trade data' function indocuments and for correct output of the incompleteness situation on thelists is the maintenance of the corresponding tables in Customizing.Here, maintain the following objects for the respective country(importing country in the case of "Monitor Import"; exporting counry inthe case of "Monitor Export"):

Ensure that the "Save incompleteness log" indicator is selected. If youdo not set this indicator, there could be a discrepancy between thestatus in the document itself and the list status. Proceeding viaincompleteness is preferable for reasons of performance.Organizational measures
If you select documents created prior to activating the incompletenessfunction for Foreign Trade data or if you have changed theincompleteness procedure for Foreign Trade data (see IncompletenessControl), the system may mark documents marked as complete on the listas incomplete on the document. In this case, use the 'ReorganizationExport or Import' function directly via the VIR1(Import) or VIR2 (Export) transaction codes.
The entries on the list and on the documents will then be identicalagain.
