Short-Term/Long-Term Disability Monitoring Report

Purpose
The Short-Term/Long-Term Disability Monitoring Report is the standardtool that enables administrators to monitor the absences of employeeswho have taken short-term disability leave, and who may eventuallytransition into long-term disability leave.

Prerequisites
Before you may run this report, you must first configure your system toprocess short- and long-term disability absences. To do so, perform theconfiguration steps located in the section of the Implementation Guidethat corresponds to your country version.

      Features
      This report extracts data stored among records in the Absencesinfotype (2001) for the specified personnel selection and reportingperiod, then produces a summary of employees in the specified selectionand period who were, are or will be on short-term disability leave.Moreover, the report draws attention, where appropriate, to short-termdisability leave absences that are soon to expire.

      Selection
      In addition to standard selection criteria, the selection screen ofthis report features the following five fields, which enable short-termdisability administrators to make additional selections.

      • Absence type

      • In this field, enter the absence type that corresponds to theshort-term disability.
        • Begin date

        • Specify the start date of the selection period in this field.
          • End date

          • Specify the end date of the selection period in this field. Inresponse, the STD/LTD Monitoring Report selects all absences that endbetween the specified begin date and end date.
            Depending upon the three continuous pay dates that are calculated foreach short-term disability absence, the report output displays a red,yellow, or green indicator for the respective absence. If the latest ofthe three pay dates lies within the selection period, then a redindicator is displayed for that absence. In contrast, if the latest ofthe three pay dates lies outside the selection period, then a greenindicator is displayed for that absence.
            • Number of warning days

            • If desired, specify an integer of your choosing in this field. Inresponse, the STD/LTD Monitoring Report will add this number of days ontop of the selected end date. If the latest pay date of an absence liesbetween the end date and the end date plus the specified number ofwarning days, then a yellow indicator is displayed for that absence.The yellow indicator communicates that it is not urgent for theadministrator to take action, yet also serves to remind theadministrator (if appropriate) to initiate the transition to long-termdisability.
              • Show last absence records only

              • If you select this checkbox, only the last (that is, mostrecent) absence record of the employee(s) in your selection will bedisplayed. If you do not select this checkbox, then all absencesthat end between the specified begin and end dates are displayed.

                Output
                Once you have specified the desired standard and additional personnelselections and executed the report, the standard system displays theoutput of the report on the subsequent screen. This screen consists ofthree separate parts, described below.
                On the left side of the report output screen, from top tobottom, the system displays, in expansible tree format, theorganizational structure that you specified on the report selectionscreen. Expand the tree structure to the lowest level, and double-clickon that level, to attain an overview of all employees in the selectedorganizational unit(s) who were, are or will be on short-termdisability leave during the period indicated. This overview isdisplayed in the upper half of the right side of theoutput screen. From this portion of the screen, select an absenceperiod to attain a numeric summary, in the lower half of theright side of the output screen, of the employees who pertain tothat absence.

                Activities
                On the report selection screen, specify the standard and additionalpersonnel selection criteria for which you wish to monitor short-termdisability leave.
                Execute the report.
                On the subsequent (report output) screen, review the employee dataextracted for the criteria you specified.

                Example
                Suppose an employee in your enterprise is currently on short-termdisability leave, but will soon be transferred to long-term disabilityleave. The administrator at your enterprise who is responsible forperforming this transfer can run this report to determine, for example,whether other employees are within six weeks of the end of theirshort-term disability leave, and therefore ensure that these employees'absences are processed appropriately.
