Archive Parked Documents

Purpose
Archiving consists of the following two steps:
Analysis and test of archivability of parked documents
Writing of parked documents to an archive file, based on the analysisexecuted in the first step
The Archived Parked Documents report is the first step.
The archiving object comprises the following parked document data:

  • ECAMIOPRHEAD: Parked Document

  • ECAMIOPRACC: Contract Account Data (reference values)

  • ECAMIOPRADDR: Addresses (reference values)

  • ECAMIOPRBANK: Bank Details (reference values)

  • ECAMIOPRBUPA: Business Partner Data (reference values)

  • ECAMIOPRCI: Contracts and Installations (reference values)

  • ECAMIOPRCONT: Contact Data (reference values)

  • ECAMIOPRMDKEY: Master Data Key (reference values)

  • ECAMIOPRMR: Meter Reading Results (reference values)

  • ECAMIOPRTEL: Telephone Numbers (reference values)

  • ECAMIOPRPC: Payment Cards (reference values)

  • ECAMIOPREMAIL: E-Mail Addresses (reference values)

  • The archiving object for parked documents is ISU_AMIO.
    Use transaction AOBJ to find the definition of the archiving object andthe corresponding Customizing settings.
    Use transaction SARA to find the archive administration and thecorresponding Customizing settings.
    Use transaction SARI to find the technical view for the archived parkeddocuments.

    Integration
    The archiving of parked documents incorporates the following reports:
    RESET N1
    Archiving Report
    The system analyzes parked documents. Those documents that can bearchived are written to the archive file.
    Deletion Report
    Parked documents in the archive file are deleted from the correspondingdatabase tables.

    Features
    The archiving report selects only parked documents whose retentionperiod has expired.
    You can define the retention period in Customizing, underDefine Retention Period for Archiving Objects
    (SAP Utilities -> Tools -> Archiving -> Define RetentionPeriod for Archiving Objects).
    You can use the ISU_AMIO_ARCHIVE BAdI in asubsequent analysis process to define additional checks for thearchivability of parked documents.
    Archivability Checks:
    A parked document is archived when the retention date set in Customizingis later than or equal to the move-in, move-out, and creation date atthe same time. For example, if the Retn. Per. field contains 30days, then a parked document can only be archived if at least 30 dayshave passed since the latest of these three dates.

    Selection
    You can make the following settings when you start the report:

    • Parked Document: Restrict the selection to
    • specific parked documents, or to a range of documents
      • Test mode: No changes are made in the
      • database if you start the report in test mode
        • Production mode: Changes are made in the
        • database
          • Detail log: Write detailed information to the
          • log for each analyzed data record. On the report selection screen, theuser can choose to hide this information in the report by selectingNo Detail Log, or see only error messages by selectingWithout Success Message, if desired.
            • Log output: Controls the way information
            • appears on the screen
              • Archiving session note: Allows you to enter a
              • comment about the archiving run
