Title
New Zealand Leave Conversion.

Purpose
The New Zealand Leave Conversion (HZLCON0) enables you toconvert your leave balances from the New Zealand Leave solution to theLeave Quotas solution. This program automates the change process forLeave Quotas by generating and altering various pieces of data.
If you upgrade from an earlier system to releases 4.0B or higher, allthe leave related data needs to be converted to Leave Quotas solution.You must execute the Leave Conversion program for this purpose.

Integration

  • The new leave solution based on leave quotas, processes leaves and
  • absences in Personnel Time Management and not in Payroll.
    • The Terminations/Redundancies component has been modified to work with
    • Personnel Time Management component.

      Prerequisites

      • The Leave conversion date is determined internally. This is calculated
      • as the date of last payroll run + 1. For this purpose, there must beat least one payroll result for the employee. If an employee doesn'thave a payroll run, then this employee's data will not be selected forconversion.
        • In the releases earlier to 4.6B, you must ensure that the last payroll
        • run has been successful and data verified.
          • Note: You cannot perform retroactive calculations for a date
          • prior to the leave conversion date.
            • You must not modify master data records after the last payroll run and
            • before leave conversion.
              • You must not modify entitlements with effective date using the
              • Leave History Adj Infotype (0312) during the period before Leaveconversion.
                • Before performing leave conversion, you must not have records in the
                • Leave History Adj Infotype (0312) with adjustments to old leavedata for future periods. The employee(s) for whom such records existwould not be considered for the leave data conversion.
                  • You must not have any records in the Absence Quota Infotype
                  • (2006) and Quota Corrections Infotype (2013) before the leaveconversion. The employee(s) for whom such records exist would not beconsidered for the leave data conversion.
                    • You must ensure that all the relevant configuration tables for the old
                    • and new leave solution exist in the SAP standard system with properconfiguration data stored in them.
                      • The leave conversion program will internally execute the Leave
                      • Projection Program to project leave balances on the date of conversion.You must ensure that the program is executed successfully and alsoprovides expected values for all the employees.

                        An output log will be shown with the conversion data and the messagesraised during the conversion.

                        Activities
                        The conversion parameters and the mapping of Leave Type to Quota Typemust be specified in the selection screen.

                        Selection
                        Specify the personnel selection details for the employees for whomleave conversion must be performed.

                        Conversion Parameters

                        • In the Test Run field, specify whether it is a simulation or
                        • actual conversion. SAP recommends that you perform a test run first toexamine the log thoroughly before performing the real conversion andmake correction, if any.
                          • To load data from a non SAP standard system or a third party legacy
                          • system, select Data from non-SAP system. This would ensure thatthe program wiill not read data from SAP systems.
                            • Specify whether the program should generate date type 01. This is the
                            • technical hire date for all the employees.
                              • Enter the Leave conversion date type This date type stores the
                              • conversion date in Date Specifications Infotype (0041) after theconversion. This enables you to identify that conversion for thisemployee is successful.
                                • Enter the New time management status which will be stored in
                                • Absences Infotype (0007) to perform time evaluation from aparticular date. You can enter either 7 or 9 in this field.

                                  Conversion Rules

                                  • Specify the leave types and the associated quota types to which data
                                  • should be converted.
                                    • You may also enter the Accrual ID of the leave type to specify
                                    • the accrual IDs to be converted. SAP recommends you to leave the fieldblank so that all the accural Ids valid for the leave types will beincluded for conversion. If you want to enter the Accrual ID, you mustdo so only for the purpose of filtering the Accrual IDs to beconverted. You must not give different rules, for example, differenttarget quota type or date type.
                                      • For each leave type to quota type conversion, enter the associated
                                      • Date type. Using the date type, you can configure the quota typeto identify the leave transfer date or accrual period.
                                        • Specify whether cumulated entitlement loading is to be done.

                                        • Specify whether hire date should be considered as the last anniversary
                                        • date instead of last anniversary date stored in the LVACC table. Thisshould essentially be used for long service leave or sick leave, ifrequired.
                                          • To determine the anniversary date, specify whether to subtract 1 day
                                          • from the last anniversary date.
                                            This is because in the old solution, the leave rollovers occur at thestart of the anniversary day whereas in the Personnel TimeManagement component, leave rollovers occur at the end of theanniversary day. As a result, anniversary dates may need to be reducedby one day to ensure that anniversary rollovers are accurate after theconversion to Personnel Time Management.
                                            • Select Program -> Execute.
                                            • Note
                                              The date types provided to store the anniversary data should be usedexclusively for that purposeused. There must not be any records in theDate Specifications Infotype (0041) records used for some otherpurpose. This is applicable to Leave conversion date type also.
                                              Typically, the employees whose set of leave types in the old solutionare the same are grouped together. These need to be converted to acorresponding set of Quota types. If you need to convert the same leavetype to different quota types for two sets of employees, then you mustdo this in two batches with appropriate conversion rules. If two setsof leave types are to be converted into the same set of quota typesthen you can do so in a single batch.

                                              An Overview of the Leave Conversion Process
                                              When you execute the leave conversion program in simulated or updaterun, the standard system performs a simulated conversion. A list isdisplayed with the list of employees and the status of their simulatedconversion. The status could be:

                                              • Successful Simulation

                                              • Successful simulation with warning

                                              • Simulation failed

                                              • Conversion already done

                                              • You can select the employees to display the log using the DisplayLog button. This will display the log of conversion for theemployees selected, in a separate screen. The log displays the summaryof the old leave data, new leave data that would be updated and a listof erros, warnings, messages generated duirng the sumulation.
                                                SAP recommends that you check the log thoroughly before proceeding withthe updation. When you execute leave conversion in the Update mode, youmust select the Update New Leave button to update infotypes andclusters. The list on the screen displays the employee data with theupdated status. The status could be Updation successful, Updationsuccessful with warnings or Updation failed.
                                                All the employees for whom the simulated run was unsuccessful or whoseleave data has already been converted will not be selected for theupdate run.
                                                You can use the Settings button to personalize the display ofthe log. You can select the type of information to be displayed in thelog.
